A photography client welcome guide that answers the questions first.

“How do I download them again?”

A welcome guide is what you send once a client books: what happens next, how to prepare, and how they’ll get their photos. Every question it answers is an email you don’t have to write, and the questions that come back after a shoot are about the last part.

What’s in it, and why.

  • Welcome

A short thank-you and what the guide covers. Keep it to a few lines; the useful part comes after.

  • How it works

The steps from booking to final photos, with when each one happens. Clients relax when they can see the whole path.

  • Before the shoot

What to wear, what to bring, how to get a space or a product ready. Specific advice beats “wear something you feel good in.”

  • On the day

When to be ready, how long it takes, who should be there. A line about running late saves a phone call.

  • Reviewing your photos

How the link works: no account, favorites, notes on a photo, and the date you need answers by. This is the section clients reread.

  • Approving and downloading

What Approve does, which size to download for what, how long the link stays open, and a reminder to keep a copy of their own.

  • Using your photos

What the license allows, in a sentence, with the contract as the full word.

Client Welcome Guide

Thank you for booking with [Studio name]. This guide covers what happens between now and the day your photos arrive, and how to review, approve and download them. Keep it handy, and get in touch about anything it doesn’t answer.

1. How it works

Booking: you sign the agreement and pay the deposit, and your date is held.

Planning: about [number] weeks before the shoot, we talk it through, using your answers to our questionnaire.

The shoot: [Shoot date] at [Location].

Review: about [number] days after the shoot, you receive a private link to your photos.

Final photos: once you approve, the full-size photos are ready to download on the same link.

2. Before the shoot

What to wear: [solid colors, nothing with large logos or fine stripes, and a second outfit if you like].

What to bring: [products, props, a change of clothes, anything with your brand on it].

Getting the space ready: [clear surfaces, open the blinds, move cables and clutter out of view].

Please tell us before the day about anything that might change the plan, like a new location or extra people.

3. On the day

Please be ready at [start time]. We need about [number] minutes to set up before we start.

The shoot runs about [number] hours. [Name the people who need to be there, and when.]

If you are running late, call or text [phone number] so we can adjust the plan.

4. Reviewing your photos

You will receive a private link by email. Open it on your phone or computer. There is no account to make and nothing to install.

Tap the heart on the photos you love. If something in a photo should change, tap that spot and leave a note, like “remove the sign in the background.”

Share the link with anyone else who should see the photos, and please send your favorites and notes by [date].

5. Approving and downloading

When everything looks right, press Approve on the same page. The watermark comes off and the full-size photos are ready to download.

Download full size for printing, or a smaller copy for email and the web.

The link stays open until [date]. Please save your photos somewhere of your own before then, like your computer and a backup drive.

6. Using your photos

You may use your photos for [personal use / your business’s marketing, in print and online], as set out in our agreement. Please credit [Studio name] where you can. If you would like to use them for something else, like paid advertising, please ask first.

7. Questions

Email [email address] or call [phone number]. We usually reply within [number] business days.

The guide describes the link.

Sections 4 and 5 are how a DropYourFiles link works for your client, so what the guide promises is what they find.

  1. No account, any phone

Your client opens the link from a text or an email and starts looking. Nothing to sign up for, nothing to install.

  2. Favorites and notes on the photo

They heart the ones they love and leave a note on the exact spot to change. You get them in one list.

  3. Approve, then download

Approval takes the watermark off. Your client downloads full size, or a copy sized for screens, from the same link.

  4. Your name at the top of their page

The link opens on your studio’s name and colors, on every plan including Free.

Questions.

What goes in a photography client welcome guide?

How the process works from booking to final photos, how to prepare, what happens on the day, how to review and approve the photos, how to download them, and what they can use them for.

When should I send the welcome guide?

Right after the contract is signed and the deposit is paid. That’s when your client starts wondering what happens next.

Can I use it for weddings or for video?

Yes. For a wedding, add the day’s timeline. For film, change the review section to say notes go at the moment in the film. The steps stay the same.

Should it be a PDF or a web page?

A PDF is easy to attach and easy to keep. Download it here as a PDF, or as a Word file to add your logo, photos and colors first.
